Review The Reason For Change

An assessment review begins by asking whether the existing document still describes the premises and the people using them. Altered layouts, different processes, stock changes, new tenants and changes to staffing can all affect the basis of the earlier assessment. A review should test those assumptions rather than simply move its date forward.

Bring the last assessment and any supporting plans or strategy documents. If the original report is incomplete, its scope is unclear or major areas were excluded, a new assessment may be more appropriate. That decision should be explained so that the responsible person understands what the updated document can support.

Look Beyond The Completed Action List

An action marked complete needs evidence that the issue was resolved appropriately. A door repair, alarm modification or change to evacuation procedures may each require different confirmation. We consider the records available and identify anything that needs further checking by a competent person.

The review also looks for new problems. Clear actions from an earlier report do not establish that storage, staffing and fire precautions remain suitable today. Management should describe changes since the previous visit, including temporary measures and any fire, near miss or equipment failure that may affect confidence in the arrangements.

Set A Meaningful Review Plan

The Fire Safety Order requires regular review and attention when the assessment may no longer be valid or there has been significant change. There is no single universal expiry date that suits all commercial premises. The review arrangement should reflect the risk, the pace of operational change and any specific concerns identified.

Record the review date, what was checked, who carried it out and what changed. Keep the earlier assessment and supporting evidence so that decisions can be understood later. Where a new inspection or specialist survey is needed, give it a defined scope and maintain appropriate interim controls until the concern is resolved.

The Legal And Guidance Framework

For Bristol commercial premises, the Regulatory Reform (Fire Safety) Order 2005 is the main general fire-safety framework. The responsible person must assess the risks and maintain appropriate precautions, with co-operation where responsibilities overlap. Appointing external help supports those duties, but the person with responsibility still needs to manage the findings.

Use the government guidance for offices and shops alongside the current recording requirements. Guidance needs to be applied to the actual building and activity, rather than treated as a universal specification. The scope and limitations of the agreed service should be recorded clearly.

How The Service Is Arranged

First, send the premises address or postcode, building use and a short explanation of the concern. We clarify the areas to include, the records available and access restrictions before agreeing the inspection or review. If the request involves specialist design or testing, that can be identified before the visit.

Next, the agreed checks are carried out using the available evidence and accessible conditions. The findings should identify what was observed, what information is missing and which actions need attention. Keep the report with the records used to support it so that follow-up work can be traced.

What Affects Cost And What To Prepare

The quotation depends on building size, complexity, access, the amount of evidence to review and the detail of reporting required. Multiple buildings, additional visits and separate specialist investigations can change the scope. Ask for inclusions and exclusions in writing, including what happens if an area cannot be inspected.

Prepare the previous assessment, plans, relevant maintenance records and details of changes or known defects. Have someone available who understands the operation and can explain shared responsibilities. Questions, Answered

Before You Book

Is A Fire Risk Assessment Valid For One Year?

A fire risk assessment does not have a universal one-year legal expiry date for all business premises. It must be kept under review and updated where needed, including after significant change or when there is reason to doubt its validity. Use the assessment findings and your building risks to set a sensible review arrangement.

Can A Review Be Completed From Documents?

A fire risk assessment review may use existing documents, but paperwork alone may not establish the current condition of the building. The scope depends on what has changed and the reliability of the information available. Where physical arrangements or unresolved defects need checking, an on-site inspection may be necessary before conclusions are reached.
